Job Purpose:
Assist the Executive assistant in coordinating the daily functions of the office

Essential Job Functions:

• Answer phones for marketing and recruiting

• Respond / distribute faxes and e-mail requests

• Receive / distribute incoming mail

• Gather / assemble information for Friday morning marketing report

• Attend Friday morning marketing meeting

• Assemble Monday morning marketing meeting goals

• Submit travel requests for marketing / sales personnel

• Issue purchase orders / check requests

• Fill out / turn in payroll roster report

• Organize / execute work on Management Review

• Update EHI Contact list and bid sheet list

• Perform other duties as assigned

Knowledge, Skills and Abilities:

• Ability to organize and plan work adhering to deadlines

• Ability to work effectively with people at all levels of the organization

• Ability to adjust rapidly to changing circumstances and priorities

• Ability to interact with all departments and clients to represent Evergreen in a professional manner.

• Professional office procedures, and knowledge of office machines and multi-line phone system

• Proficient in word processing, use of spreadsheets, compiling and reporting information and Internet research

• Maintain confidentiality

Education / Experience:
1-2 years experience in an administrative assistant or comparable position. Working knowledge of word processing, spreadsheets, and Internet.

Physical Demands:
While performing the duties of this job, the employee is regularly required to stand, walk, sit; use hands to finger, handle, or feel, reach with hands and arms; and talk or hear. The employee must regularly lift and/or move up to 10 pounds. Requires eye hand coordination and manual dexterity, corrected vision to normal range and ability to communicate effectively.

Equipment Operated:
Telephone, personal computer, printer, copier, and fax

Work Environment and Conditions:
The noise level in the work environment is usually moderate and with limited exposure to physical risk.
